Opertations/Admin Assistant

Our client is a leading independent trading, storage and distribution ,dealing in petroleum products and bio-fuels.
They are looking for a permanant Operations admin assistant. The role will be partly hands-on for rail operations and partly office based for document control & administration duties, skills in Microsoft Office will be essential.
The ideal candidate will have excellent communications skills, a good work ethic and a proactive, pragmatic approach to managing their work. The person must be physically fit as the railside operation is manually orientated.
Working hours:
7.30am -4pm Monday to Friday (40 hours)
Operational Responsiblities :
-Supporting with Rail Operations during train off-loading, acting as the “second man” supporting the Train Shunter.

-Work with Rail Operations staff and develop skills in Rail Shunting through an organised training plan, support with Rail Shunting in future.

-Aid operations with visual checks, sampling and auditing of Rail Operations.

Assist Terminal Operations with scheduled work orders when required

Administration Responsibilities;

-Produce authorisation codes for wagon drivers to load product at the Terminal, working with the operations team and the logistics team at Head Office.

-Deal with any issues regarding order numbers and authorisation code, communicate any issues to the duty operator and management team.

-Assist in setting up and manage a Document Control system for the company

-Ensure document are formatted to the correct standards and are appropriately signed off by relevant staff.

-Circulate document for review and feedback comments/queries to document owners.

-Working with the Operations and Engineering teams to produce inventory lists for spares and consumables used on the Terminal, manage stocks and place orders.

-Assist with general administration duties, answering the phone as a first point of contact at the Terminal, setup inductions and ensure people sign in/out from site.



Required Skills;

-Familiarisation with industrial/process equipment.

-A full understanding of Microsoft Office products (Word, excel, etc.).

-Excellent communication skills.

-Ability to work independently and as part of a small team.

-Experience working within the petrochemical/process industry would be preferred however candidates with an enthusiasm to learn would equally be considered.
